Privacy Policy

Last updated: Draft for private testing.

This Privacy Policy explains how Tally Accounting Limited, operated by Arun G Nair, processes personal data when users use PDF Bank Statement to Clean Excel.

Important: This is draft wording for private testing. It should be reviewed by a GDPR/data protection professional or solicitor before public launch.

1. Who we are

Service name: PDF Bank Statement to Clean Excel
Company: Tally Accounting Limited
Business owner/contact: Arun G Nair
Email: tallyacltd@gmail.com

2. What the service does

The service converts uploaded bank PDF statements into a clean Excel file. It currently supports AIB, Bank of Ireland and PTSB statement formats, including OCR support for PTSB/scanned PDFs where available.

3. Personal data processed

Uploaded bank statements may contain personal data and financial data, including names, addresses, account identifiers, transaction dates, descriptions, amounts and balances. The generated Excel file may contain extracted transaction data.

4. Purpose and lawful basis

We process uploaded files only to provide the requested conversion service. For private testing and future customer use, the expected lawful basis is that processing is necessary to provide the requested service, and/or legitimate interests in operating and improving the converter. Public launch wording should be reviewed before use.

5. Temporary file handling and retention

Uploaded PDFs and generated Excel files are stored temporarily for conversion. They are deleted after download or automatically after about 30 minutes. We do not intentionally keep uploaded bank PDFs or generated Excel files permanently.

6. Logs

A limited conversion summary log may be kept for testing and operational purposes. The log is designed to store summary data only, such as date/time, success/error status, number of PDFs, upload size, row count, warning count and OCR status. It should not store bank transaction descriptions, account numbers, statement contents or PDF filenames.

7. OCR warning

For PTSB or scanned/photo PDFs, OCR may be used. OCR can miss rows or misread amounts. Users must review the Excel output and any Warnings sheet before using the data for bookkeeping, tax, audit, accounts or other financial work.

8. Sharing and processors

The service may use hosting and technical service providers to operate the website and converter. During private testing, the app is hosted on Render. Payment providers may be added later. Public wording will be updated if payment, analytics, email or other processors are added.

9. Security

We use HTTPS hosting and temporary file processing controls. No online service can be guaranteed completely secure. Users should not upload files unless they are authorised to do so.

10. Your rights

Depending on your location and applicable data protection law, you may have rights to access, correct, delete, restrict or object to processing of your personal data. Contact us at tallyacltd@gmail.com for privacy requests.

11. UK users

UK users may have rights under UK GDPR and the Data Protection Act 2018. The service is currently in private testing and this policy will be reviewed before public UK launch.

12. Changes to this policy

We may update this Privacy Policy as the service develops, especially when payment links, public access, analytics, cookies or login features are added.
